How to Compare Contractor Quotes
Three quotes for the same job can vary by thousands of dollars. Before you choose the lowest number, make sure you're actually comparing the same thing.
Why quotes differ so much
A significant price difference between quotes usually means something is different — not that one contractor is simply cheaper. Common reasons include:
- Different scope — one contractor includes prep work or cleanup that another excludes
- Different materials — premium vs. standard grade products
- Different preparation — proper surface prep takes time and costs money
- Different warranty terms — a longer warranty reflects confidence in the work
- Different overhead — licensed, insured contractors have higher costs than unregistered ones
This applies across all trades — whether you're comparing quotes from painters, roofers, HVAC companies, or plumbers.
How to make quotes comparable
Before comparing prices, make sure every contractor is quoting on exactly the same scope. Provide each one with a written description of the work you want done, and ask them to itemize their quote.
Define the scope in writing
Write down exactly what you want done — dimensions, materials, finishes, and any specific requirements. Give the same document to every contractor.
Ask for itemized quotes
Request a breakdown of labour, materials, and any other costs. A lump-sum quote makes it impossible to understand what you're paying for.
Confirm what is included
Ask each contractor specifically: Is surface preparation included? Cleanup and debris removal? Permits? Touch-ups after the job?
Compare materials by name
Ask what brand and grade of materials will be used. A paint job using premium exterior paint is not the same as one using a budget product.
Compare warranty terms
A one-year warranty and a five-year warranty are not equivalent. Ask what the warranty covers and how to make a claim.
When the lowest quote is a red flag
A quote significantly below the others is worth questioning. Ask the contractor to explain the difference. Common explanations include:
- Lower-grade materials — confirm what is being used
- Reduced scope — confirm nothing important has been left out
- No insurance or WCB — verify credentials before proceeding
- Unlicensed subcontractors — ask who will actually do the work
The right question to ask
Instead of "why are you the cheapest?", ask: "Your quote is lower than the others — can you walk me through what's included and what materials you'll be using?" A confident, detailed answer is reassuring. Vague answers are not.
